Job Description

CHAK’s constitution provides for membership to Protestant churches’ health facilities and community-based health programmes provided their services are not for profit

Purpose

The Administrative Assistant Intern will be responsible for providing administrative and clerical support to ensure efficient operation of CMES and broader CBSL activities. The role includes tasks such as managing communication, maintaining records and assisting with coordination of departmental activities. The intern will play a crucial role in enhancing operational efficiency and contributing to the smooth running of daily business activities.

Key responsibilities 

  • Assist in daily operations of CBSL by providing administrative support.
  • Support basic maintenance work at the CMES workshop.
  • Manage communication, including responding to emails, receiving and responding to incoming calls, visitors and correspondence.
  • Organize and maintain files, records, and documentation for CBSL.
  • Coordinate meetings, appointments, and travel arrangements for CBSL staff.
  • Support preparation of reports, presentations, and other documentation.
  • Assist in tracking inventory and procurement processes within CMES.
  • Follow up of debts and document the same in a register.
  • Ensure clients’ statements are sent periodically and address related client queries before escalating to the supervisor.
  • Planning and participation in CBSL meetings by taking minutes and following up on agreed action with relevant parties.
  • Handle office supply management and liaise with vendors for departmental needs.
  • Contribute to the organization and coordination of departmental events and activities.
  • Perform any other duties as assigned to support CBSL’s business operations.

Qualifications

  • Currently pursuing or recently completed a Diploma or bachelor’s degree in biomedical engineering (preferably) or a related field.
  • Strong organizational and multitasking skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work as part of a team in a fast-paced environment.
  • Keen attention to detail and a proactive approach to problem-solving.
  • Previous experience in an administrative role or internship is an added advantage.
  • Customer service, sales and marketing skills will be an added advantage.
  • Minimum one year experience in the biomedical engineering field
