Administrative Assistant (Property Management)

Main Responsibilities

  • Occupancy Check Management
  • Monitor renewal-related triggers, such as:
  • Transitions to Month-to-Month (MTM)
  • 7 days without a response after MTM begins
  • Create and manage verification orders on the iVueit platform:
  • Configure external inspections (72-hour SLA)
  • Validate addresses and properties
  • Configure visit windows (8:00 a.m. – 6:00 p.m.)
  • Activate evidence with photos and notifications
  • Ensure the accuracy and quality of each order before submitting it
  • Internal Escalations and Work Orders
  • Generate escalation tasks and workflows in Ender
  • Create and assign work orders
  • Document requests with clear and detailed context
  • Coordinate with the team Maintenance as appropriate
  • Results Tracking and Management
  • Analyze iVueit results and route accordingly:
  • Vacant properties → Move-outs team
  • Occupied properties → Renewals team
  • Cases with amounts <$500 → Move-outs
  • Cases ≥ $500 → Hold and additional validation
  • Inconclusive results → Internal escalation
  • Keep records and statuses updated for each case

Administrative Support

  • Support administrative requests related to retention
  • Ensure consistency in processes and documentation
  • Identify opportunities for improvement and report incidents

Requirements

  • High attention to detail and process orientation
  • Ability to work with multiple tools (iVueit, Ender)
  • Excellent written communication
  • Ability to prioritize time-sensitive tasks
  • Minimum 1 year of experience in property management operations and administrative support
