Summary

We are actively seeking a savvy and organized Executive Assistant to be the right hand to our CEO. This role isn’t just about managing schedules; it’s about creating leverage for the CEO, driving strategic initiatives, and navigating a fast-paced high-growth pan-African company.

The Executive Assistant to the CEO at AMI will be at the epicenter of operations, ensuring maximum leverage for our leadership team. This role goes beyond traditional admin support – you will provide comprehensive support to our senior leaders, helping them to get more done, efficiently. This position requires a proactive and detail-oriented individual with excellent organizational, communication, and interpersonal skills.

Responsibilities:

CEO Support:

  • Master the art of managing the CEO’s schedule for maximum impact and alignment with company priorities.
  • Stay two steps ahead, anticipating the CEO’s needs and tackling challenges head-on.

Scheduling:

  • Support management of complex calendars across the senior leadership team, prioritize appointments, and coordinate meetings.

Board Coordination:

  • Drive board coordination— including scheduling, supporting preparation of documentation, and owning the logistics of board meetings.
  • Support the CFO by maintaining an organized record of board resolutions, decisions, and action items.

Strategic Functions:

  • Collaborate with the CEO and senior leaders to support strategic initiatives where required.
  • Support our incoming COO to drive cross-functional alignment and communication.
  • Conduct research and analysis to support CEO and senior leadership decision-making.

Travel Coordination:

  • Arrange and coordinate travel itineraries, accommodations, and logistics for executives, optimizing travel efficiency.

Communication and Correspondence:

  • Polish and refine documents, presentations, and reports for a range of audiences.
  • Craft compelling communications, and presentations in collaboration with key company leaders.

Meeting Coordination:

  • Own logistics for key leadership and board meetings.
  • Collaborate with executives to prepare comprehensive meeting agendas, ensuring all necessary materials and documents are distributed in advance.
  • Distribute meeting minutes promptly and track action items to ensure timely completion.

Expense Management:

  • Support senior leaders with expense management and filing.

Skills & attributes

  • Proficient in office software and collaboration tools.
  • Ability to maintain composure in high-pressure situations.

Education and Experience

  • Bachelor’s degree from a recognized institution or equivalent experience.
  • Proven experience as an Executive Assistant in a fast-paced environment.
