Executive Assistant

  • You are dynamic, highly dependable, and thrive in fast-paced, high-impact environments. You anticipate needs before they arise, manage competing priorities with grace, and support the CEO in staying focused on the big picture. You know when to act independently and when to consult. You’re organized, proactive, and think five steps ahead.
  • This role will support agriBORA’s CEO in day-to-day operations, project execution, strategic coordination, and stakeholder management. It’s both operational and strategic, suited for someone who thrives on variety and is energized by purpose-driven work.

KEY RESPONSIBILITIES

CALENDAR & SCHEDULING

  • Manage the CEO’s calendar and prioritize meetings for maximum impact.
  • Schedule, confirm, and follow up on internal and external appointments.
  • Anticipate scheduling conflicts and resolve them independently.
  • Coordinate travel arrangements including flights, accommodation, visas, and transportation.
  • Maintain flexibility to reschedule and communicate changes promptly.

MEETING & EVENT SUPPORT

  • Prepare meeting materials: agendas, decks, reports, and decision notes.
  • Take minutes and track action points and follow-ups across internal and external meetings.
  • Plan logistics for events, board sessions, offsites, and conferences.
  • Assist with investor and partner meeting preparations, ensuring alignment and readiness.

INFORMATION MANAGEMENT

  • Conduct research on key topics and summarize insights for executive decisions.
  • Draft, edit, and proofread documents, memos, and correspondence.
  • Maintain the CEO’s data room, organizing investor materials and governance documents.
  • Support the creation of strategic reports and board packs.

COMMUNICATIONS & CORRESPONDENCE

  • Screen and manage incoming communication; respond or delegate as appropriate.
  • Draft professional emails and letters in English (German is a plus).
  • Maintain confidentiality and professionalism in all communications.

PERSONAL & PROJECT SUPPORT

  • Assist with ad hoc personal tasks and errands as needed.
  • Support the CEO’s project work with research, coordination, and execution tracking.
  • Follow up with teams on deadlines, deliverables, and dependencies.

INTERNAL COORDINATION & GATEKEEPING

  • Act as liaison between the CEO and other stakeholders (team, board, partners).
  • Coordinate with Special Projects Office on internal priorities and documentation.
  • Serve as the point of contact for external engagements, managing access to the CEO.

WHO YOU ARE

  • Strong organizational and communication skills.
  • 5+ years experience as a PA, EA, Project Coordinator, or Administrative Lead.
  • Tech-savvy: proficient in Google Workspace, MS Office, and remote collaboration tools.
  • Independent and action-oriented, with high attention to detail.
  • Strong interpersonal skills and discretion with sensitive information.
  • English fluency required; German language skills a strong plus.
  • Experience in high-growth or entrepreneurial environments is a bonus.
