Job Description

CIC Insurance Group Limited, commonly referred to as CIC Group, is an insurance and investment group that operates mainly in Kenya, Uganda, South Sudan and Malawi

PURPOSE:

Facilities officer helps ensure the day-to-day smooth management and operation of a building’s infrastructure, contract management, office support services along with property and space management services.

PRIMARY RESPONSIBILITIES:

  • Maintenance of facilities equipment: Well-maintained lifts, pumps, generator, Air Conditioning units, fire detection system & firefighting equipment and ensuring a maintenance plan is adhered to
  • Manage leases for branches and tenants – ensure leases are signed & rent payables and receivables is done as per schedules
  • Ensure high standards of housekeeping & gardening within the premises
  • Maintain Fixed Asset register; Tagging, Verification, updating registers and listing for disposal.
  • Coordinating repairs and maintenance for building, infrastructure, furniture, equipment and fixtures – oversee repair works by supervising the contractors involved that safety standards are maintained
  • Maintain an updated Key register and track issuance for the premises
  • Prepare invoices for payments for facilities related expenses in a timely manner
  • Supporting facilities related projects – Office & Space renovations & support sale of Land parcels
  • Sourcing for office space and negotiate lease agreements
  • Co-ordinate with staff, Landlords and tenants to resolve facilities related issues.
  • Identify and assess inherent risks and create risk registers
  • Conduct risk audit on business units and branches
  • Prepare draft management reports
  • Review and advise on business processes, IT change management control and product risk review
  • Maintain risk and incident logs
  • Monitor compliance with the recommended risk controls and mitigations.

Academic and Professional Requirements

Education  : Minimum of Bachelor’s Degree in Business-related field or Real Estate Management from a reputable university    E

Professional Qualifications :  Computer literate in MS Office and other office applications    E

Experience Required: 3 years Relevant experience
