Finance & Admin Officer Kenyan Job At Parklands Baptist In Kenya
Position: Finance and Administration Officer
Reports to: Head of Operations
Duty Station: PBC Westlands, Nairobi

Job summary:

  • Responsible for coordinating and oversight of financial and administrative activities of the church in Westlands and its branches including the Parklands Baptist School (PBS) and ensuring compliance with all finance and administration policy standards and relevant statutory requirements.

Finance & Admin Officer Job Responsibilities

  • Oversee all finance and accounting functions including budgeting; asset management; cash flow management; salary transfers and statutory remittances; management reporting; financial variance and accounts analysis; in accordance with generally accepted accounting principles, financial policies and procedures of PBC, and all other applicable laws, rules and guidelines.
  • Ensure internal financial and administrative procedures are compatible with prevailing laws of Kenya and that finance and administration policies, procedures and processes are adhered to by staff, leaders and volunteers of the Church.
  • Ensure that periodic financial reports are produced so that the Treasurer, Senior Pastor and the Boards have adequate information for effective decision making.
  • Participate in resource mobilization activities including proposal development, costing and budgeting. This includes review of various ministries’ budgets in consultation with the chairs before submitting to the Treasurer.
  • Take overall responsibility for financial training of the finance and non‐finance staff and volunteers on PBC standards and requirements.
  • Oversee and ensure effectiveness of the administration function of the Church.
  • Prepare and present annual financial statements up to external auditors for both the Church and the school, in consultation with the PBC Treasurer.
  • Manage internal and annual external audit exercises, prepare audit follow-up plans and ensure that action plans are implemented.
  • Review all payment vouchers to ensure all supporting documents are attached and process payments for all financial transactions and review and ensure accurate reconciliation of bank, MPESA and cash accounts.
  • Responsible for maintenance and update of all finance and administration files including correspondences.
  • Keep records of fixed assets and equipment; conduct physical verification at least twice a year; prepare semi-annual and physical annual verification reports to be submitted to the Head of Operations.
  • Ensure up to date annual inspection and insurance of the Church and School property and conduct frequent visits to branches and mission stations for monitoring and supervision.
  • Offer professional guidance and support to Church Boards and Committees as shall be required.
  • Supervise Accounts and Administration staff.

Requirements For Finance & Admin Officer Job

Personal attributes

  • Must have a personal relationship with Christ and be a regular and active member of a recognized Church congregation of like faith as PBC.
  • Ability to plan, organize, coordinate, implement and maintain operations with high professional standards and integrity.
  • Excellent judgment and decision making skills.
  • Excellent written and oral communication and interpersonal skills to work effectively in a multicultural environment.
  • Ability to lead/coordinate multiple teams.

Education and Work Experience

  • Minimum a first Degree in Commerce (Accounting, Business Administration or Finance) or any related field from a recognized University.
  • Professional training/certification such as Certified Public Accountant (CPA K) /ACCA or equivalent.
  • At least 8 years’ experience in Accounting/Finance and proven experience in Administration.
  • A good command of the English and Kiswahili languages and excellent computer skills.
  • Current certificate of good conduct.

Working Conditions

  • Work will be performed in a normal office environment and occasionally working beyond normal working hours to meet deadlines and participate in Church meetings. Interaction is with staff members, volunteers, church members and congregants, clients and vendors of PBC and key publics. Sunday is a normal working day.
