Job Description

raia Trust is a charitable trust, which works in the areas of civic education, civic engagement and institutional transformation. Uraia’s vision is to build an informed, empowered and democratic nation. Uraia does this by facilitating the development of an engaged citizenry through the provision of quality civic education that enables Kenyans to realise their constitutional aspirations. Uraia’s Key Focus Areas for 2016-2020 are entrenching constitutionalism, promoting free and fair elections, addressing the historical political marginalisation of women, youth, persons with disabilities, marginalised and minority groups and promoting internal excellence. Uraia works in Kenya through civic educators, implementing partners at the national and county level and the media. Uraia Trust also collaborates with the Government of Kenya at both the national and county level. History Uraia is the premier National Civic Education Organisation in Kenya. It has been in existence since 2000 and has been working to contribute towards the progress of Kenya through the development of Kenya’s most important resource – Kenyans. Uraia began its journey as the National Civic Education Programme (NCEP) when a formal partnership was struck between 70 Kenyan indigenous civil society organisations (CSOs) – who became implementing partners (IPs) – and a group of development partners who signed a memorandum of understanding (MoU) that outlined the basis for cooperation between the development partners as well as the joint funding mechanisms of the Programme.

The Position

The Finance Officer is responsible for ensuring timely, efficient and effective processing of accounting and financial management transactions of the Trust. In addition, the Finance Officer will support the management in implementing the finance and accounting strategies, internal controls and enforcement of policies, procedures as well as generation of information for decision making.

Roles and Responsibilities

  • Undertaking proper maintenance of finance and accounting records of the trust and ensuring their security.
  • Preparation and processing of disbursements to partners, timely payment for supplies and services as well as management of supplier accounts.
  • Advice on smooth operationalization of Uraia Trust internal controls, cost control and enforcement of policies and procures.
  • Journalising and posting of approved day to day transactions to accounting ledgers and ensuring timely updating of the trust’s computerised accounting system.
  • Ensure statutory compliance, timely remittance of statutory payments and assist management in preparation and facilitation for statutory audits.
  • Processing of petty cash reimbursements and any other cash float requirements e.g., travels, workshops etc.
  • Timely preparation of bank reconciliation statements and funds flow management as well as proper filing for relevant bank correspondences.
  • Close supervision and monitoring of staff personal accounts with a view to timely recovery of any outstanding advances such as travel advances, outstanding meeting floats, salary advances etc
  • Assist in production of regular budgetary, donor and work plan implementation reports.
  • Assist management in regular monitoring of financial transactions and obligations against budget and grant requirements.
  • Support the finance and programme team in sub granting and partner procurement processes.
  • Maintenance and timely updating of the fixed assets register.
  • Perform any other duties as may be assigned to you by your supervisor or head of department.

Applicant Profile

  • An Undergraduate degree in Finance, Accounting, or a related field and CPA Part 2 is a must.
  • A Master’s degree will be an added advantage.
  • At least 2 years of progressive experience in the non-profit sector in Finance, Accounting & Grants Management.
  • Proficiency in Microsoft Office software with a bias in Ms. Excel, PDF and other collaboration tools and preferably having a working knowledge in ERP systems (i.e., Microsoft Dynamics 365 BC or Navision) is an added advantage.
  • Should be willing, ready and able to perform other duties as delegated to him/her by the supervisorwhile maintaining a high level of confidentiality.
  • Flexible and a can-do approach to tasks and the ability to adapt to a changing and challenging environment.
  • Ability to work in and as a team.
  • Demonstrable planning, organisational, coordination, interpersonal, presentation, oral and written communication, attentive to details, proactiveness, problem-solving skills and ability to work with minimum supervision.
  • The position requires the ability to maintain focus with frequent outside disruptions and constantly changing priorities.
  • The incumbent must be able to demonstrate sound independent judgment balanced with the ability to follow directions.
  • The ability to grasp and utilize new concepts or methods quickly is important.
