Job Purpose:

This position is responsible for overseeing fleet maintenance. It also involves establishing effective systems and procedures to ensure that the Fleet department operates profitably. The incumbent will oversee the overall activities of the staff in this department and report on the same to the relevant authority.

Key Responsibilities % of Time

Leadership and Direction 15

  • Monitoring performance of the team members to ensure that the department’s outputs are aligned to the business objectives and achieved
  • Resolving issues, problems, and challenges that may arise from time to time within the department or deliverables that are the responsibility of the department
  • Establishing systems, processes and procedures within the department and ensuring they are followed
  • Ensuring that required reports are accurately prepared and issued in timely manner
  • Recruitment and training of the drivers

Fleet Management 50

  • Supervising all the drivers to ensure that work is done effectively and to the company standards
  • Ensuring that the cars are fit in terms of models and mechanically at all times
  • Responsible for acquiring and maintaining lease vehicles.
  • Reporting all accident and incidents to the relevant authorities
  • In cases of accidents ensuring the insurance documents are filled appropriately and ensuring the necessary compensation is done
  • Testing and inspecting the repaired status of vehicles
  • Ensuring compliance of all traffic regulations
  • Resolving any issues that may arise relating to fleet management and escalating the complicated ones to the relevant authority
  • Ensuring that all vehicles are insured and that the company is in the custody of all the required documents e.g. licenses
  • Issuing drivers’ uniforms and other necessary equipment required to perform their work effectively

Recruitment and Selection 10

  • Sourcing for the qualified drivers for the company
  • Ensuring that the potential candidates have the requires documents and that the successful candidates fill in all the necessary forms required upon reporting

Training and Development 10

  • Planning and facilitating the various trainings which are necessary for the drivers e.g. First Aid, Defensive Driving, Health and Safety e.t.c.
  • Providing training feedback to the directors
  • Recommending the required trainings for specific drivers to develop their skills

Health and Safety 5

  • Ensuring that the company complies with the legal requirements of health and safety
  • Overseeing the trainings of the health and safety team from time to time
  • Ensuring that any broken tools and equipment which may act as potential hazards to health and safety in the organization are repaired or replaced

Reporting 10

This position involves preparing the following reports:

  • Drivers in Service Reports
  • Claim Form Reports
  • Drivers Vehicles Allocation Reports
  • Weekly Service Report
  • Cost of vehicles for service
  • Drivers in shift reports
  • Performing any other duties assigned

  • Drivers , Supervisors, Mechanics and Carwash Attendants

Knowledge and Experience required for this Role

  • Degree/Diploma in any relevant field
  • A minimum 5 years working experience in a similar industry
  • Must have mechanical knowledge
  • Competencies required for this Role

  • Supervisory skills
