Job Description

Centre for Health Solutions – Kenya (CHS) is a local, not-for-profit organisation. We understand the local context, make use of local expertise and strategic partnerships to ensure we implement evidence-informed solutions and interventions to address existing and emerging public health concerns.

Overall Job Function

Responsible for supporting program implementation by ensuring project/ grant expenditures comply with the applicable donor rules and regulations as well as CHS policy.

Key Responsibilities

  • Review of monthly office field claims for approvals and preparation of payment schedules to facilitate Mpesa transactions.
  • Assists in the management of the office petty cash.
  • Assists in the preparation of the sub awardees budgets and budget justifications as well as facilitate the signing of the sub awardees contracts. Subsequently prepares budget amendments and modifications.
  • Maintaining an up to date grants file containing the sub award documentations that includes the current sub award contracts, fully signed monthly financial reports, site visit reports, contact detail sheet and sub award amendments among other sub awardees correspondences
  • Develop and deliver training programs to educate sub awardees on local laws, risk management, compliance requirements, and ethical conduct to foster a culture of compliance and risk awareness.
  • Conducting and documenting regular sub award visits and also participates in quarterly feedback meetings to ensure compliance with the grant’s agreements.
  • Verifying project expenses of the sub grantee to ensure completeness and accuracy in financial reporting and compliance with sub awardees internal policies, CHS and donor requirements.
  • Timely processing of monthly sub awardees cost reimbursements requests to ensure continuous support of the budgeted and planned program activities.
  • Support project and organizational audits/ reviews by availing required documentation and information.
  • Support sub grantees during preparation for external project audits by ensuring document adequacy and their readiness.
  • Maintain, update and submit a quarterly pipeline report for the sub awardees
  • Ensure that sub awards adhere to document retention policy as per local laws and donor requirement
  • Assist and support sub grantees on successful close out procedures as per donor requirements and CHS policy
  • Any other duty as assigned by the supervisor

Person Specification

  • A Bachelor’s degree in Business Administration, Finance, Accounting or its equivalent.
  • A professional qualification, such as CPA-K or ACCA
  • Computer literate and working experience in NAVISION accounting packages will be an added advantage.
  • Familiarity with the local and International accounting standards
  • 3 years’ relevant experience in sub award, grants management and reporting within the NGO sector
  • Experience in working with County Health structures and USG health funded programs
  • Excellent writing, communication interpersonal skills and a proven ability to work in a team
  • A good understanding of budgeting, financial accountability and financial reporting and general numeracy.
