Health Records Officer

Level Four (4) Psychiatric and Mental Health Hospital

Reporting to: Head of Department
Role Summary

  • Tranquil Med Centre, a leading Level 4 Psychiatric and Mental Health Hospital, is seeking a dynamic Health Records Officer to join the team. The Health Records officer will be responsible for maintaining the integrity and accessibility of patient health information, the accurate collection, storage, retrieval, and dissemination of patient records, ensuring compliance with all relevant regulations and data privacy standards.

Key Responsibilities

  • Ensuring the accurate and timely creation, maintenance, and filing of patient medical records.
  • Managing patient registration, appointment scheduling, and front-desk operations as needed.
  • Retrieving and preparing patient files for clinics, admissions, and other departments.
  • Maintaining strict confidentiality and security of all patient information.
  • Ensuring data quality and completeness in both manual and electronic health record systems.
  • Assisting with internal and external audits related to health records.
  • Generating reports and statistics from health record data as required.
  • Adhering to national and institutional health records policies and procedures.
  • Contributing to a positive and collaborative team environment.

Key Qualifications & Experience

  • Prior experience in a similar role.
  • Diploma or Degree in Health Records and Information Technology from a recognized institution.
  • At least 3 years of relevant experience in a healthcare setting.
  • Strong knowledge of medical terminology and data management principles.
  • Excellent organizational and time management skills.
  • High level of accuracy and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Must be a registered and active member of the Health Records and information HRIM Board.
