Job Description

Indepth Research Services (IRES) is an international training and consultancy organization with its head office in Nairobi, Kenya. Job Summary:

As a Human Resources Assistant with a legal background, you will play a crucial role in supporting various HR functions while providing legal expertise to ensure compliance with employment laws. You will assist in recruitment processes, employee relations, compliance monitoring, and policy development. Your legal background will be essential in interpreting and applying labor laws and regulations to HR practices.

Responsibilities:

 Recruitment Support:

  • Assist in coordinating recruitment efforts, including job postings, candidate screening, and interview scheduling.
  • Ensure compliance with equal employment opportunity (EEO) laws and regulations throughout the recruitment process.
  • Assist in drafting employment contracts, offer letters, and other recruitment-related documents, ensuring legal compliance.

Employee Relations:

  • Provide support in resolving employee relations issues, including investigations, disciplinary actions, and conflict resolution.
  • Assist in conducting exit interviews and analyzing feedback to identify trends and areas for improvement.
  • Ensure adherence to employment laws and company policies in all employee relations matters.

Legal Compliance:

  • Monitor changes in labor laws and regulations and update HR policies and procedures accordingly.
  • Conduct audits and assessments to ensure compliance with employment laws, including wage and hour regulations, workplace safety, and anti-discrimination laws.
  • Assist in preparing and filing reports required by regulatory agencies, such as EEO-1 reports and OSHA logs.

Documentation and Record-Keeping:

  • Maintain accurate and up-to-date employee records, including personnel files, benefits enrollment forms, and training records.
  • Ensure compliance with data protection laws and regulations in handling employee information.
  • Assist in the preparation of HR reports and presentations for management and regulatory purposes.

Policy Development and Implementation:

  • Assist in developing HR policies and procedures in alignment with legal requirements and best practices.
  • Communicate policy changes and updates to employees and ensure understanding and compliance.
  • Provide guidance to management and employees on HR policies and procedures.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, Law, or a related field.
  • Previous experience in HR administration or related roles, with knowledge of HR principles and practices.
  • Legal background with understanding of employment laws and regulations.
  • Strong attention to detail and accuracy in handling documentation and records.
  • Excellent communication and interpersonal skills, with the ability to maintain confidentiality.
  • Proficiency in HRIS software and Microsoft Office Suite.
  • Certification in HR or related field (e.g., PHR, SHRM-CP) is a plus.
