Job Description

Victory Farms is a tilapia fish farm established in 2015. VF is located on the Kenyan side of Lake Victoria and has distribution capacity throughout Kenya. The Company is rapidly expanding its farm operation, fish processing, and sales & marketing capabilities.

Summary

The Junior Stores Assistant will be a cornerstone supporting a key office of the company’s operations, General Stores. You will support the store assistant in receiving requisitions (in advance for planning and ad hoc for issuance), generating master requisitions for procurement, issuance, stock-keeping and management, store maintenance, routine stock-taking, and reporting (weekly/daily/monthly) of consumables and general store items.

Roles & Responsibilities:

Receiving requisitions and Issuing consumables

  • Review requisitions and issue consumables to requesters (If stocks are available).
  • Receive, review, and consolidate requisitions into a master requisition for procurement’s use in purchasing (for the items unavailable at the store).

Store maintenance

  • Ensure the store is clean and well always maintained.
  • Consistently organize store items for easy stock taking, and tracking and ensure shelves and items are neatly arranged.

Stock-taking and inventory maintenance

  • Regularly updating bin cards for inventory tracking.
  • Filing and safe storage of store-related documents.
  • Performing routine stock takes; daily, weekly, and monthly and accurately reporting these numbers.
  • Planning and forecasting consumable requirements in collaboration with finance to ensure the store is adequately stocked.
  • Assisting finance in performing monthly store audits.

Store operations and compliance

  • In charge of enforcing store policies and procedures set in place by ensuring all staff members using the store adhere to the said policies.
  • Be the custodian of all store documentation and policy documents of reference.

Skills and qualifications:

  • Diploma in Supply Chain Management, Procurement and Logistics, or a related field.
  • Certificate in Storekeeping or Inventory Management.
  • Experience in using ERP systems will be an added advantage
  • Strong work ethic, with proven ability to work independently and complete tasks within deadlines.
  • Ability to work cross-functionally with colleagues from various teams; you will have exposure to people from lake operations, procurement, operations, fleet, and finance
  • Good team player, can function well in diverse team settings, and is an effective communicator
  • Strong data entry capability required- leveraging digital tools to track current inventory will be paramount
  • Experience in digital inventory management a plus
  • Strong organizational skills with a high level of attention to detail
  • Proficiency in MS Office Suite (Word, Excel, Outlook), as well as web-based tools and communication platforms such as WhatsApp required
