Legal Assistant

Job overview:

The Legal Assistant will be responsible for legal project management, stakeholder communication, and ensuring regulatory compliance. Key duties include staying updated on regulatory changes, managing product terms and conditions, and working with various departments to ensure compliance. The role also involves investigating and resolving customer complaints, drafting legal contracts and terms and conditions, and improving legal processes to enhance departmental efficiency and ensure the success of projects.

Key Responsibilities:

Regulatory Updates and Stakeholder Engagement

  • Monitor and communicate regulatory updates within the industry to ensure ongoing compliance.
  • Review of terms and conditions for products and regulatory correspondence.
  • Handle filing and documentation tasks related to regulatory matters.
  • Collaborate with stakeholders in Fraud, BI, Finance, and Technology departments to address regulatory issues and implement necessary adjustments.
  • Develop and maintain effective communication channels within the legal department and with external stakeholders.
  • Participate in regular departmental meetings and collaborate with other departments to ensure streamlined communication on project progress.

Legal Documents Preparation and Records Management

  • Draft and review legal contracts, ensuring accuracy, compliance, and alignment with business objectives.
  • Provide legal support in negotiations and contribute to the development of standardized contract and terms and conditions templates.
  • Responsible for all first drafts of legal documents before review.
  • Prepare draft legal documents, such as contracts, leases, and correspondence, under the supervision of legal associates and the legal manager.
  • Review and revise legal documents to ensure accuracy, completeness, and compliance with legal requirements.
  • Organize and maintain an efficient filing system for legal documents and correspondence.
  • Organize and maintain legal files, both electronic and physical, to ensure easy access and retrieval.
  • Ensure compliance with document retention policies and procedures.

Litigation support and Customer complaints management

  • Customer complaint resolution; investigate and resolve customer complaints related to legal and regulatory matters.
  • Provide administrative support for legal cases, including scheduling appointments, organizing documents, and tracking deadlines.
  • Assist in preparing for legal proceedings, such as depositions, trials, and mediations.
  • Follow up on legal matters with opposing counsel, courts, and other parties involved in legal proceedings.

Administrative Services Support

  • Process all business licenses and permits.
  • Coordinate with external parties, such as government agencies, law enforcement, and expert witnesses.
  • Stay abreast of industry-specific regulations and conduct legal research to ensure compliance.
  • Perform various administrative tasks, such as answering phone calls, scheduling meetings, and managing calendars and general office support such as dispatch of correspondence, photocopying, scanning, and filing.

Legal Research and Analysis

  • Utilize legal databases and research tools to gather information on various legal topics, including case law, statutes, and regulations.
  • Review and analyze legal documents, such as contracts, leases, and legal opinions, to identify key terms, provisions, and potential legal issues.
  • Summarize research findings and provide legal analysis in the form of memos or briefs.

Qualifications and Skills:

  • Degree in Bachelor of Laws (LLB) or Diploma in Paralegal studies (a Post Graduate Diploma in law will be an added advantage).
  • At least two (2) years in a similar role.
  • Excellent communication and interpersonal skills.
  • Effective stakeholder management skills.
  • Team player.
  • Good grip of Microsoft office applications.
  • Creativity, problem-solving and follow through.
