Job Description

BURN designs, manufactures, and distributes aspirational fuel-efficient cooking products that save lives and forests in the developing world.BURN has revolutionized the global cookstove sector by proving the business case for selling a high quality, locally manufactured and unsubsidized cookstoves.

Summary

BURN is looking for a Product Administrative coordinator who will work closely with the Chief of Staff to the CPO in handling the following:

Duties and Responsibilities:

  • Calendar Management: Efficiently manage the calendar of the CPO, scheduling appointments, meetings, and travel arrangements (where applicable) with precision and foresight.
  • Documentation Preparation: Prepare and edit documents, presentations, and reports for meetings and presentations, ensuring accuracy, clarity, and adherence to organizational standards.
  • Research and Information Compilation: Conduct research and compile information as needed for various projects, initiatives, and decision-making processes.
  • Logistics Coordination: Coordinate logistics for meetings, conferences, and events such as team building, including venue booking, catering, and audiovisual equipment setup, to ensure seamless execution.
  • Record Management: Maintain and organize filing systems, databases, and records for the CPO, ensuring easy accessibility and confidentiality of sensitive information.
  • Confidentiality Maintenance: Handle sensitive and confidential information with discretion, integrity, and professionalism always.
  • Administrative Support: Provide comprehensive administrative assistance, including but not limited to:
    • Coordinating with external vendors and service providers for office maintenance, repairs, and other facilities-related tasks.
    • Assisting with the coordination of team meetings, including agenda preparation, minute-taking, and follow-up on action items.
    • Supporting HR-related activities, such as coordinating interviews, onboarding new hires, and maintaining employee records.
    • Assisting with the coordination and execution of company-wide events, initiatives, and employee engagement activities.
    • Responsible for receiving, compiling, processing, and managing requests for competitor product purchases, ensuring a streamlined workflow to facilitate competitor analysis.
  • Any other related tasks assigned to them by their line manager.

Skills and Experience:

  • Bachelor’s degree in business administration, management, or a related field.
  • Proven experience as a Personal Assistant or Executive Assistant, preferably supporting C-suite executives.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong written and verbal communication skills in English.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion, professionalism, and integrity when handling confidential information and sensitive matters.
  • Ability to work independently with minimal supervision and maintain a high level of accuracy and attention to detail.
  • Strong interpersonal skills with the ability to build and maintain relationships at all levels.
  • Knowledge of office management systems and procedures.
  • Familiarity with Kenyan administrative procedures and protocols.
  • Experience with event planning and coordination.
