Challenges in Africa Some 60 percent of Africa’s lands and waters – community property, in a sense – are managed by the people who live on them. These people are undoubtedly the most vulnerable on Earth. A continuing threat is their lack of control over the communal lands and waters they depend on for survival. And as the people struggle, so too does the wildlife that relies on the same resources. An absence of strong institutions and governance further compounds these challenges. Therefore, our work in Africa is focused on perfecting and exporting the best examples of community-led conservation across the continent’s vast shared lands and waters. These examples are ones that provide tangible benefits to people. Conservation has to pay to be successful.

About Job

  • The Project Coordinator supports the TNC Kenya PFP project and will provide support to advance the detailed planning, management, and execution of the project. The coordinator provides day-to-day support to the Project leads and the PFP Director.
  • They support key coordinating functions that help staff and stakeholders work in an efficient and effective way, such as tracking project status in project management software and reporting as required in consultation with the Project Director, maintaining a shared Box folder, tracking meeting commitments and minutes, and following up with partners to ensure work is proceeding as planned. They also support staff through activities such as collating and organizing data (financial, biological, etc.). The Project Coordinator will also help ensure that meetings and events are effectively planned, participants receive advance information, technical materials are prepared, and reports are completed in a timely manner. They will also support development of documents, slide decks and translations that meet the objectives and deliverables defined for the PFP project.
  • Reporting to the Kenya PFP Project Director, the position will be based at the TNC office in Nairobi, Kenya, and will involve frequent domestic and occasional international travel.

Role Scope And Key Responsibilities

  • Coordinate and track multiple project plans and workstreams across teams, provide strategic and logistical support for the implementation of project activities, track status via project management software (Smartsheet), and prepare and deliver project reports as required, in consultation with Project Director.
  • Support the Project Director and the Project Management Team in ensuring a high standard of internal communication and integration across matrixed teams working at country, regional and global levels.
  • Development of documents, presentations, and other materials, and coordination of events and consultancies with external partners. Take responsibility for the oversight and maintenance of document management systems, ensuring their efficient operation and accessibility to all PFP (Project Finance for Permanence) Team members.
  • Establish a centralized repository for project-related documents, ensuring that files are logically organized and easily retrievable by team members.
  • Implement and maintain a version control system to track revisions and updates to critical project documents, ensuring that the most current versions are readily available.
  • Manage access permissions for team members, assigning appropriate levels of access to different categories of documents while ensuring data security and confidentiality.
  • Coordination of internal and external meetings and tracking of agreed upon actions and tasks.
  • Organize Project Management Team (PMT) Meetings and Steering Committee Meetings, prepare pre-reads, agendas, draft minutes, and action points, and follow up the implementation of these over time.
  • Integrate document management systems seamlessly into project workflows, enhancing efficiency in data sharing, collaboration, and review processes.
  • Financial administration and budget tracking, including procurement procedures.
  • Plan and support trips of TNC staff and external partners.
  • Support logistics of a range of stakeholder meetings and workshops as needed.
  • Under minimal supervision, make independent decisions based on analysis, experience, and context.
  • Demonstrate sensitivity in handling confidential information and working closely with senior colleagues, partners, and stakeholders.

What You’ll Bring

  • BA/BS and 5 years’ experience in natural resource management, project management or related field or equivalent combination of education and experience.
  • Experience coordinating complex or multiple projects simultaneously, including staffing, workloads, and finances under deadlines.
  • Experience coordinating project teams and working with cross-functional staff.
  • Experience completing tasks independently and respecting timeline(s).
  • Demonstrable evidence of being very focused and organized.
  • Excellent communication skills via written, spoken, and graphical means in English.
  • Possess strong interpersonal skills to work closely with a variety of staff and partners. Must be a team player.
  • Experience using applications such as Microsoft Word, Excel, MS Teams, Zoom and Web Browsers.

Desired Qualifications

  • Over 7 years of experience coordinating projects.
  • Knowledge of conservation practice, trends, and issues in Kenya.
  • Knowledge of project planning, implementation, monitoring, and reporting.
  • Experience organizing and facilitating workshops in an inclusive and participatory manner.
  • Proven ability to develop strategies and solve problems through collaborative facilitation.
  • Multi-cultural or cross-cultural experience appreciated.
