Senior Credit Administration Officer

Job Purpose

The Senior Credit Administration Officer provides hands-on support in the pre and postapproval credit process by preparing and verifying credit documents, perfecting securities, and ensuring all facility conditions are fulfilled before and after disbursement. The role liaises with Legal, Credit, and Business Teams to maintain accurate loan booking and continuous security coverage in line with CBK Prudential Guidelines, the Banking Act, IFRS 9 requirements, and internal policies. The officer also compiles data for CBK returns, supports IFRS 9 ECL provisioning through accurate portfolio information, and prepares routine management reports that strengthen credit monitoring and operational compliance.

Job Specification

  • Creating credit files according to the approved standard operating procedures.
  • Preliminary analysis of customer applications and preparing appropriate recommendation.
  • Preparing credit proposals, renewals, extensions and cancellation of facilities within the bank policies, statutory and regulatory requirements.
  • Monitoring established credit facilities to ensure timely collection of loan maturities or recommend remedial action in case of deteriorating performance.
  • Preparing facility letters of offer and follow up execution by the bank and the client.
  • Preparing instructions to register securities, safe custody of duly executed offer letters and other security documents.
  • Preparing notices to existing clients according to the prevailing terms and conditions of the letters of offer.
  • Undertaking planned visits to project sites or Premises of business and preparing call reports.
  • Ensure maximum utilization of trade finance facilities provided to clients and originate new trade finance deals/repeat business from these clients.
  • Follow up repayments and overall compliance through visits, correspondences, reminders and debt collection.
  • Handling customer enquiries on banks products or any other issue pertaining credit to facilities.
  • Respond to queries relating to clearance of facilities for drawdown and perfection of securities.
  • Ensure compliance with internal policies and procedures relating to lending and others areas that relate to day-to-day operations.
  • Filing security documents and other credit related documents in a systematic manner to ensure retrieval whenever the need arises.
  • Facilitate release of securities as per laid down procedure.
  • Follow up on branches and all business units to ensure 100 per cent compliance with respect to insurance renewals, payment of rent and rates and revaluation of securities.
  • Actively participate in the audit processes and ensure the department achieves a satisfactory rating for both internal and external audits.
  • Maintain a well updated securities movement register.
  • Any other duties that may be assigned from time to time.

Person Specifications

  • Bachelor’s degree in Actuarial Science, Commerce, Economics, Business Administration, Finance, or in a related field from a recognized institution.
  • Registration by any of the following recognized professional bodies: – Associate of the Kenya Institute of Bankers, Marketing Society of Kenya, Institute of Certified Public Accountants, Financial Markets Association, or any other equivalent.
  • Supervisory course lasting not less than two (2) weeks
  • Cumulative of three (3) years in relevant work experience at the grade of credit officer or comparable position;
  • Proficiency in computer applications;
  • Shown merit and ability as reflected in work performance and results; and
  • Fulfill the requirements of Chapter Six of the Constitution.
