Subaward Specialist, Office of Grants and Contracts

Subawards Management (~60 – 75% level of effort)

  • Provide support on outgoing agreements from pre-solicitation stage through closeout.
  • Responsible for drafting and reviewing outgoing agreements in accordance to the standard process and consult Legal where required.
  • Act as main point of contact for outgoing agreements for program teams within assigned portfolio.
  • Support maintenance of outgoing agreement files; track and monitor electronic files during implementation.
  • Serve as resource for outgoing agreements closeout, to ensure compliance with donor rules and PATH policies.
  • Keep abreast of, interpret, and provide guidance to staff on donor regulations related to outgoing agreements.
  • Support in close out process for the awards in Salesforce working closely with the Grants and Contracts (Awards) Officers.
  • Lead in data integrity reviews related to outgoing agreements records within the Salesforce, identifying and implementing strategies to improve efficiency and accuracy and completeness of data in Salesforce.
  • Providing support for PATH and affiliates’ Audits as may be requested.
  • Establish and maintain positive working relationships with donors and program staff.

Data and analytics (~25 to 40% level of effort)

  • Serve as the primary point of contact for questions related to PATH’s third-party risk management (TPRM) system: Resolver.
  • Support system processes and templates.
  • Support OGC Resolver operations including training staff, performing error checking and assisting with process improvements.
  • Assist with data management in master data with support from Global Grants and Contracts Manager and Subrecipient Monitoring and Compliance Manager.
  • Train and onboard OGC team members on risk management software.
  • Track process improvements and update job aids and training materials as needed.

Other Responsibilities

  • Work closely with the OGC and program teams to develop, review, and implement award/subaward management associated procedures within pre-established parameters.
  • Work closely with the Grants and Contracts Coordinator to ensure data integrity in Salesforce related to Outgoing agreements.

Required Experience

  • Bachelor’s degree in international development, business administration, or related field required plus a minimum of 3 years of experience in the nonprofit sector.
  • Professional qualification is an added advantage e.g., CPAK, ACCA, CA etc.
  • Experience drafting outgoing instruments (subawards and subcontracts) required.
  • Experience with MS Word, Excel and document management (i.e., Box) required.
  • Experience working with Salesforce or other Grants Management Information System will be an added advantage.
  • High degree of accuracy and very strong attention to detail.
  • Understanding of the full-life cycle of an award.
  • Strong organizational skills
  • Ability to manage competing priorities and work effectively in a deadline driven environment.
  • Strong writing and editing skills.
  • Ability to work effectively both independently and in a diverse team environment.
  • Strong communication skills with the ability to navigate complexities and build partnerships with donors, country, and global program staff.
  • Demonstrated experience with USG funded projects including USAID, NIH, CDC, other research donor resources preferred.
  • Must have legal authorization to work in Kenya.
