Senior Associate, Employee Relations, Performance

Roles & Responsibilities

Employee Relations: 

  • Support the development, interpretation, and communication of HR policies in alignment with Kenyan Labour Laws, regulatory requirements, and the Bank’s values and governance standards.
  • Manage employee relations matters, including disciplinary cases, grievance handling, workplace conduct issues, and appeals, ensuring fairness, consistency, and compliance with internal policies and regulatory expectations.
  • Maintain accurate and auditable documentation of employee relations cases in collaboration with HR Business Partners and line management, in line with record-keeping and compliance requirements.
  • Support organizational change initiatives (e.g., restructures, branch realignments) while safeguarding employee engagement, operational continuity, and regulatory compliance.
  • Provide timely and practical guidance to managers on the fair, consistent, and compliant handling of employee matters, minimizing operational and reputational risk.
  • Participate in disciplinary hearings as a panel member, ensuring adherence to due process, procedural fairness, and proper documentation in line with internal policies and applicable labour regulations.
  • Manage relationships with employee representatives and workplace committees, fostering transparent communication, trust, and collaboration to sustain a positive and compliant working environment.
  • Maintain up to date and confidential disciplinary records through effective management of the ER tracker, ensuring information is readily accessible for audit and decision-making purposes.
  • Contribute to the periodic review and update of the HR Manual, ensuring ongoing alignment with employment legislation, regulatory expectations, and evolving banking sector practices.

Performance Management: 

  • Coordinate performance review schedules and communications.
  • Support employees and managers with the performance management process.
  • Track performance progress and ensure timely completion of reviews.
  • Maintain accurate performance data and generate performance reports.
  • Assist in goal setting, feedback collection, and review logistics.
  • Ensure confidentiality and compliance with HR policies.

Employee Wellness: 

  • Support in the execution of the Bank’s Employee Wellness Programme, ensuring effective coordination of wellness initiatives in line with the approved Wellness Calendar. This includes engagement with accredited wellness service providers, scheduling of activities, driving participation, and ensuring timely and professional communication to staff.
  • Support the delivery of strategic inclusion and employee engagement initiatives (e.g., diversity forums, and employee resource groups) by coordinating logistics, communications, and feedback mechanisms to enhance programme effectiveness and impact.
  • Support the planning and execution of employee engagement activities such as end-of-year events and other engagement forums that promote collaboration, alignment, and a strong organizational culture.
  • Co-develop and implement employee recognition programmes at both organizational and departmental levels, including formal awards and peer recognition initiatives, to reinforce a high-performance culture.
  • Develop and disseminate clear and engaging communication materials on employee wellness programmes, policy updates, and engagement initiatives, ensuring alignment with internal communication standards.
  • Deliver against defined performance objectives aligned to the Bank’s HR strategy, balanced scorecard, and individual performance targets, ensuring measurable impact and accountability.

Job Specifications:

Academic & Professional Qualifications:-

  • Bachelor’s degree in human resource management, Business Administration, or a related field.
  • Member of IHRM.
  • CHRP-K is an added advantage.

Work Experience Required:-

  • 3–4 years of HR generalist experience, with a strong focus on employee relations, performance and wellness.
  • Solid knowledge of Kenyan Labor Laws.
  • Experience in handling disciplinary cases and coordinating with employee representatives or line managers.
  • Demonstrated ability to support or lead employee engagement, recognition, and wellness initiatives.

Associate – Customer Service (OCT Branch)

Roles & Responsibilities

Key Responsibilities:

  • Receive, verify, Authenticate, call back and processing thereof of all instructions delivered at the branch e.g RTGS, TT, FDR, Forex conversions, stop payments, Treasury Bills, cheque book requests, card applications.
  • Preparing audit confirmations, certificate of balance, interest certificate and opinion letters for customers.
  • Ensuring the completion of all account opening documentation and following up on deficiencies.
  • Facilitating customers’ access to lockers.
  • Attending to walk-in customers enquiries on account opening and products so as to maximize conversion of enquiries to sales.
  • Responding to all written and oral complaints and enquiries received from customers.
  • Cross-selling the Bank’s range of products and services to existing and new customers and acquire new active accounts/Business.
  • Ordering of cheque books and cards as per customer specification.
  • Safe custody and management of cards and cheque books.
  • Collection of all service charges as per bank tariff to ensure nil income leakage.

Associate – Teller (OCT Branch)

Roles & Responsibilities

Key Responsibilities:

  • Process customer transactions: Accurately and efficiently handle customer deposits, withdrawals, transfers, and other banking transactions while adhering to bank policies and procedures.
  • Process in-house cheques: Verify and process in-house cheques to ensure legitimate, accurate, and timely payments.
  • Receive outward cheques, VAT and PAYE payments: Accept and validate cheque and tax-related payments, ensuring correct documentation and processing.
  • Process Card Payments: Handle transactions and services related to prepaid, multi-currency, and Narada cards while maintaining transaction security.
  • Carry out daily call backs and filing; Conduct transaction verification callbacks and maintain organized records to support compliance and operational controls.
  • Cross- sell the Bank’s products: Identify customer needs and promote suitable banking products and services to enhance customer value and business growth.
  • Handle customer enquiries: Provide prompt, professional assistance and resolve customer questions, concerns, and service requests.
  • Balance Cash Daily and Manage Cash Limits: Reconcile till cash against system records daily and ensure compliance with approved cash holding limits.

Associate, Back Office (OCT Branch)

Key Responsibilities:

  • Carefully vet and process cheques, ensuring accuracy and completeness.
  • Scan and correct cheques, notify stakeholders of in-house cheque statuses.
  • Reconcile outward cheques, ensuring accuracy against reports.
  • Confirm rates with treasury as needed before processing.
  • Accurately process the DMS instructions within SLA, minimizing errors.
  • Accurately process salaries and EFTs, reconciling accounts.
  • Manage standing orders and remittances on time.
  • Handle direct debit payments efficiently.
  • Timely and accurate processing of internal transfers.
  • Address customer calls, queries, and complaints efficiently, resolving issues and promoting cross-selling initiatives.

Analyst – Strategy & Transformation

Roles & Responsibilities

  • Assist in the Strategy Management process through analysis of the Strategy Map performance and Balanced Score card tool.
  • Assist in setting Key Performance Indicators (KPIs) to monitor the implementation of the Strategic Plan.
  • Collation and analysis of data to set baselines and assess the identified KPIs underlying the strategic plan.
  • Monitor and track progress of KPIs against set targets, report deviations and underlying root causes and supporting responsible stakeholders in identifying remedial actions.
  • Support preparation of monthly, quarterly and periodic reports with detailed analysis for various governance forums highlighting status and way forward for the strategy map and transformation implementation.
  • Analyse the effectiveness of KPIs used in tracking achievement of the strategic goals and recommending KPI changes where necessary.
  • Provide content for bank-wide communication on status of achievement of the Strategic Plan KPIs under the Strategy Map.
  • Assisting in review of KPIs for the Business Plans and Initiatives developed to support achievement of the strategic plan.
  • Provide support to the Transformation office on cadence processes as required / on a need basis.

Academic Qualification Required;

  • Bachelor’s degree in Business Administration or its equivalent from a recognized institution.
  • Master’s degree in Business Administration or its equivalent from a recognized institution will be an added advantage.

Work Experience and Competencies Required;

  • A minimum of 3 years overall banking experience.
  • Strong analytical and numerical skills.

Associate Trade Finance

Roles & Responsibilities

Processing of Trade Finance Instruments (60%) 

  • Review instructions received to ensure they are valid, workable and meet the bank’s and international trade guidelines. Where required, liaise with customers to guide and seek clarity in order to obtain a complete application.
  • Carrying out trade finance compliance and due diligence checks in accordance with procedures e.g. Type of goods, countries involved and where required escalate to the line manager
  • Liaising with Relationship managers, Credit administration, Legal department and Treasury as required to facilitate processing of the transactions. This includes seeking approvals, marking limits in the system, legal opinion of guarantee wordings, bank indemnities etc.
  • Drafting, initiation and amendment of all types of Letters of credit (Export, Import, back-to-back etc.). This involves liaising with customers with regards to wording, terms and conditions.
  • Drafting, initiation and amendment of all types of guarantees (Bid Bonds, Performance, Payment etc) and Standby Letters of Credit.
  • Receiving, document processing, release to clients of all documentary collections (Import, Export, Avalization).
  • Receiving of outward foreign cheques, sorting, compliance checks, dispatch to correspondent banks for payment; confirmation and payment of inward foreign cheques; processing and dispatch of unpaid cheques.
  • Receiving customer confirmation and processing of Supply Chain Finance instructions (discounting and/or distributor finance). This applies for bills discounting outside Supply chain finance.
  • Lodging & acceptance of bills (Collection and LC), and relaying acceptance to correspondent Banks.
  • Payment of bills on due date or as customers submit instructions, in liaison with Business development and Treasury as may be required.

Customer care (30%) 

  • Act as point of reference for enquiries and provide trade finance advice to external clients, and internally to bank staff as and when required.
  • Correspondence with counter party Banks – Initiation and response to correspondent bank queries.
  • Confirmation of guarantees issued to external parties i.e. Government bodies and large corporates.
  • Preparation of reports of outstanding liabilities and sharing with Internal and external customers as and when called for.

Audit and compliance (10%) 

  • Monitoring Nostro statements for reconciliation and accounting for and/or clearing any outstanding trade related items.
  • Identify any potential red flags taking into consideration compliance requirements/AML/sanctions and escalating to line manager where required. Advise line manager of all Risk & Control Self-Assessment (RCSA)
  • Reporting any risk events within timeframes outlined in the procedure.
  • Safe keeping of client shipping documents in fireproof cabinets.
  • Follow up with customers for duly executed Bills of Exchange and indemnities for safekeeping as these are considered legal documents.
  • Weekly review of Outstanding Liabilities and timely notification to the relevant stakeholders e, g. Customers, Business Development, Credit.
  • Formally notifying customers and/or correspondent banks of overdue payments; and closure of bills within the set timelines.
  • Printing and call back of daily journals.

 

Associate – Teller (Garissa Branch)

Roles & Responsibilities
