Procurement Officer

Job Description

  • Our client is looking for applications from qualified candidates to fill the position of Procurement Officer. Reporting to the CEO, the Procurement Officer will be responsible for overseeing the procurement and supply chain functions in compliance with relevant laws, regulations, and internal policies.

Specifically, the officer will:

  • Prepare the annual procurement plan and budget proposal, and coordinate its implementation in accordance with applicable laws and regulations.
  • Prepare and review contract agreements in line with established procedures.
  •  Participate in tender openings and commercial analyses in liaison with relevant departments, sections, and units.
  • Contribute to the development and implementation of procurement policies, procedures, and systems for the Association.
  • Prepare and issue tender documents, bidding requests, and requests for quotations for both regular and specialized goods and services.
  • Schedule procurement activities in alignment with approved budgets.
  • Promote and ensure the adoption of best practices in supply chain management.
  • Facilitate the prompt and accurate delivery of goods, works, and services following tender awards or purchase orders.
  • Facilitating receipt, verification, inspection and posting of ordered goods, to ensure compliance to order specifications.
  • Prepare tender evaluation schedules and local purchase/service orders for approval and award.
  • Manage the performance and appraisal of staff within the procurement unit.
  • Participate in periodic stock-taking and inventory control exercises.

Requirements

  • At least five (5) years of relevant work experience, with a minimum of three (3) years at a middle management level in Procurement.
  • Experience in the public sector will be an added advantage.
  • Bachelor’s degree in Procurement, Purchasing and Supplies, Commerce, Business Administration, Economics, Social Sciences, or any other related discipline.
  • A recognized professional qualification in Procurement such as CIPS, CPSP-K, or any other equivalent qualification from a recognized institution.
  • Membership in a recognized professional body such as the Kenya Institute of Supplies Management (KISM) or the Chartered Institute of Procurement and Supply (CIPS), in good standing.
  • Excellent understanding of Government Procurement Regulations.
  • Computer proficiency, with a valid certificate in computer applications.
  • Compliance with the requirements of Chapter Six (6) of the Constitution of Kenya (2010).
  • Experience in Government procurement procedures is a MUST

 

Warehouse Officer

Job Description

  • Our Client is an educational Movement for young people, which provides non-formal education that complements the core-curriculum offered in our educational institutions. We are seeking an experienced and results-driven Warehouse Officer to join our team and lead the efficient and effective management of our stores operations.

Key Responsibilities:

  • Oversee daily stores operations including receiving, storage, inventory management, and dispatch of goods.
  • Ensure accurate stock records and conduct regular inventory audits.
  • Supervise and lead stores staff, ensuring productivity, safety, and compliance with policies.
  • Develop and implement warehouse policies and procedures to improve efficiency.
  • Ensure timely and accurate order fulfillment and delivery.
  • Liaise with procurement, and Scouts Shops to align supply chain activities.

Requirements

Qualifications and Experience:

  • Bachelor’s Degree in Supply Chain Management, Logistics, or a related field.
  • Minimum of 3 years’ experience in warehouse management or a related role.
  • Proven experience with warehouse management systems (WMS) and inventory control.

Returns Management & UPC – Consumer Electronics

Used Parts Collection

  • Used Parts Collection (UPC) inspection and system update for warranty payment
  • UPC testing of PBA/OCTA for Target models
  • Monthly scapping & Quarterly shipment of faulty PBA/OCTA parts to HQ (Korea)
  • Execute Goods Receiving (G/R) in CS-Portal for successfully inspected parts/sets
  • Inventory management for returned used parts (in warehouse).
  • Weekly report on returned parts and pending collection from ASC based on fiscal month
  • Weekly follow-up with ASC for unreturned used parts
  • ASC Support: liasing with partners on issues concerning Used Parts Return”

Product Returns

  • MX/CE Product Return inspection and reporting (CE Inspection for DA products to be done with support of Samsung CE Technical Lead)
  • Inventory management for returned replaced products (Head office).
  • Monthly scrapping of CE PR units and co-ordination of monthly collection of scrapped product return units by e-waste company
  • Quarterly Auction/Resale of MX PR Units
  • ASC Support: liasing with partners on issues concerning Product Returns”

E-Waste Management

  • Coordinate monthly collection of scrap parts & scrapped return products by e-waste company.
  • Raise approvals to pay e-waste company (must attached scrap report, invoice, certificate).
  • Upload scrap reports to GMP/SAP systems.
  • Maintain duly completed pre-scrap & Post scrap reports and obtain descriptive certificate from e-waste company (Date, Qty, weight, description of scrapped items)”

Training

  • Train service partners on warranty system processes related to product return, used parts return and the implications of incorrect return/failure to return these items.”

Credit Returns Management

  • Receive, inspect and process part returns for ASC’s
  • Communicate with partners on any missing information needed
  • Follow up on the issuance of credit notes for returned parts
  • Safe keeping of returned parts until they are completely resolved
  • Execute Goods Receiving (G/R) in CS-Portal for successfully inspected parts/sets”

  • Diploma in Supply Chain Management, Logistics, Business Administration, Electronics Engineering, or a related field.
  • Minimum of 3 years’ experience in returns management, warehouse operations, inventory control, or reverse logistics within the consumer electronics industry.
  • Hands-on experience with SAP ERP, including inventory transactions, goods receipt (GR), returns processing, stock reconciliation, and reporting. Experience with warehouse management systems (WMS) is an added advantage.
  • Proven experience in product returns, used parts management, inventory control, e-waste coordination, and warranty or reverse logistics processes, with a strong focus on accuracy and compliance.
  • Strong analytical, organizational, and communication skills, with the ability to coordinate effectively with service centers, logistics partners, vendors, and internal stakeholders, as well as train partners on returns and warranty processes.

 

Warehouse Logistics Co-Ordinator/Planner – Consumer Electronics

Duties:

  • Request for invoices, countercheck and submit Logistics I’
  • Task Completion monthly
  • Monthly Closing for logistics partners and vendors (Kloss/Fargo,SDS, Siginon)
  • Submit invoices for payments to avoid clearance interruptions

ASC Customer Support

  • Advising ASCs on parts availability, ETA,canceling POs, and parts registration,
  • SAW approval Neighbouring Country ASCs
  • Parts Q&A and email responses to service partners “

Part Vendors payments

  • Monthly Closing part vendor payments (C5H0,C5H2,C712,C720,C100)

SEEA Neighboring Countries

  • Advising ASC on parts availability, ETA,canceling Pos,
  • Request to raise SAW incase of BO,
  • Parts Q&A and email responses.
  • Following up with MENA on ETA and Open PO’s.Sharing prealerts

Inventory Management

  • Quarterly inventory counts/Stock Take
  • Regular cycle counts

Requirements:

  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, Procurement, Business Administration, or a related field.
  • Minimum of 3 years’ experience in warehouse logistics, inventory planning, or supply chain operations within the consumer electronics industry.
  • Hands-on experience using SAP ERP, with proficiency in inventory management, logistics planning, purchase orders, goods movements, and reporting. Knowledge of other warehouse management systems (WMS) is an added advantage.
  • Proven experience in inventory management, stock control, cycle counts, stock takes, logistics coordination, vendor management, and warehouse planning.
  • Excellent analytical, organizational, and communication skills, with the ability to coordinate effectively with service centers, logistics partners, suppliers, and internal stakeholders while managing multiple priorities.

 

Warehouse Parts Operator – Consumer Electronics

Responsibilities

  • Prepare and complete orders for delivery or pickup according to schedule
  • Receive and process warehouse stock products (pick, unload, label, store)
  • Perform inventory controls and keep quality standards high for audits
  • Keep a clean and safe working environment and optimize space utilization
  • Complete diary logs into inventory
  • Report any discrepancies
  • Communicate and cooperate with supervisors and coworkers
  • Operate and maintain preventively warehouse vehicles and equipment

Requirements

Outbound Parts Administrator – Consumer Electronics

Supervisory Responsibility

  • Oversee and manage daily operations related to parts outbound management and distribution.
  • Oversee the daily activities of parts outbound and Authorized Service Center (ASC) support team.
  • Meet and exceed our client HQ requirements in terms of product support through parts supply.

Main Purpose of the Job

  • To proactively Process parts orders and dispatch parts to meet Parts Arrival Ratio (PAR) targets and minimize the Division’s LTP ratios to within Acceptable HQ ranges.
  • To ensure timely Management of Faulty parts return process & credit notes processing

Key Responsibilities

Major Tasks

  • Forecast parts requirements based on consumption and trends to support Long Term Repair Ratio (LTP)
  • Work with Warehouse team pro-actively in respect of Parts Dispatching to meet Parts Arrival Ratio (PAR) targets
  • Control YTD statistics and necessary comparison tables to last year, etc.
  • Management of Faulty parts return process & credit notes processing
  • Monitor, escalate and report delays to Warehouse management;
  • Provide regular detailed parts reports to management.
  • Make effective and regular use of the SEEA systems.
  • Managed parts stock in Compliance with our client standards as set out in the Parts Stock Holding and Ordering Policies;
  • To report, interpret and consult on information to improve our client spare parts logistics.

Requirements

Qualifications

  • Certificate/Diploma in Logistics / Business Management (Essential) or

  • 3 – 5 years’ experience in Logistics environment of which 3 years must include managing people (Essential).
  • Exposure to Service Delivery methodologies.
  • In depth knowledge of repair and service centre operations
