Job Description

Mission for Essential Drugs and Supplies (MEDS) is a registered trust of the Kenya Conference of Catholic Bishops (KCCB) and Christian Health Association of Kenya (CHAK) with the mandate to provide reliable, quality and affordable essential drugs, medical supplies, training and other pharmaceutical services.

Warehouse Assistant – Projects

About the role

  • The Warehouse Assistant is responsible for proper handling of USG products from receiving to dispatch, and ensuring good distribution practices as well as stock accuracy.
  • The offer and contract are subject to availability of USG donor funding.

Job Responsibilities

  • Coordinate the receipt of USG products by overseeing receiving activities at the Third-Party Logistics (3PLs), ensuring proper handling, and posting products accurately in the system to maintain inventory integrity
  • Report on the status of inbounds and outbounds of Health Products and Technologies ( HPTs) to ensure adherence to established procedures by 3PLS
  • Ensure proper stock rotation to minimize product spoilage and maintain inventory accuracy iv. Participate in the preparation of HPT for shipment, ensuring proper labelling and packaging by 3PLs
  • Verify goods loaded against tally sheets and delivery notes during loading of trucks
  • Check and report the condition of the 3PLS warehouse environment to ensure it is clean and organized
  • Participate in physical stock counts and reconcile inventory records to ensure accuracy
  • Verify the implementation of quality control measures by 3PLS to maintain the integrity of HPT
  • Comply with all safety regulations and procedures to ensure a safe working environment
  • Verify processed orders at the 3PL to confirm that outgoing orders to clients are error-free, minimizing client complaints and enhancing service quality
  • Address client complaints by conducting thorough investigations, implementing corrective and preventive actions (CAPA), and resolving issues both physically and in the system to enhance customer satisfaction

Qualifications

  • Diploma in Business related field, or Diploma in Health Systems Management or Enrolled Diploma in Pharmacy.

Senior Accountant – Projects

About the role

  • The Senior Accountant is responsible for ensuring accurate, timely, and reliable project accounting information, managing project budgets, and ensuring compliance with USG guidelines and financial requirements. The offer and contract are subject to availability of USG donor funding.

Job Responsibilities

  • Oversee day-to-day accounting to guarantee that documentation associated with financial transactions meets MEDS and donor requirements, ensuring accurate financial tracking and reporting.
  • Obtain necessary tax exemptions and waivers for project activities to comply with Kenya laws and USG guidelines, minimizing financial risks and ensuring legal compliance.
  • Coordinate timely preparation of annual foreign tax reports to fulfil reporting obligations and ensure compliance with regulatory requirements.
  • Prepare monthly cash flow projection reports and submit them to the Finance and Operations Director (FOD) by collaborating with the Warehouse, Logistics, and Procurement teams, to ensure accurate forecasting and effective budget management.
  • Administer staff payroll reimbursements to MEDS commercial accounts while adhering to MEDS policies, procedures, staff contracts, and statutory/regulatory requirements, ensuring staff compensation is processed correctly and efficiently.
  • Coordinate regular asset verification and prepare the annual inventory report to maintain accurate asset records.

  • Participate in budgeting for proposals, annual work plans, and budgets by providing input from the technical team, to support effective financial planning and alignment with project goals.

  • The Warehouse Team Lead is responsible for coordinating the smooth and efficient operation of warehouses, ensuring that Health Products and Technologies (HPT) are stored, handled, and distributed accurately and on time. The offer and contract are subject to availability of USG donor funding.

Job Responsibilities

  • Coordinate receipt of Health Products and Technologies (HPT) and update records for accountability
  • Coordinate release of stock to inspection stage for quality assurance assessment
  • Ensure accountability of HPT during storage and order processing
  • Supervision of warehouse staff to ensure timely and accurate processing of orders
  • Ensure barcode utilization in applicable warehouse order processes
  • Oversee daily activities of warehouse staff including effective performance management to achieve operational objectives and targets
  • Manage and control resources to ensure optimized use and accountability
  • Prepare and present management reports for decision making
  • Implement guidelines of Good Storage and Distribution Practices for HPT to ensure compliance with regulatory authority
  • Ensure material handling tools such as forklifts, pallet movers etc. are operational for efficient use
  • Manage packaging materials and related consumables for efficient use
  • Manage the assigned team to ensure a healthy work environment

Qualifications

  • Bachelor’s degree in Pharmacy or Bachelor’s degree in Health Systems Management, Supply Chain Management, Business Administration, or a related field with a Diploma in Pharmacy;
  • Registration or enrollment with the Pharmacy and Poisons Board;
  • 5 years of experience in supply chain management or a related field;
  • 3 years of experience managing small to medium teams;
  • Competence in operations planning and problem solving.
  • Experience in donor-funded sector and CILT, CIPS, CHL, Medical Logistics or equivalent certification is an added advantage;

Supply Chain Officer – Distribution – Projects

About the role

  • The Supply Chain Officer – Distribution is responsible for ensuring efficient and timely delivery of medical commodities to health facilities. This role involves planning and executing delivery schedules, tracking commodity movement, monitoring distribution performance, addressing logistical challenges and coordinating with stakeholders to ensure the smooth operation of the supply chain. The offer and contract are subject to availability of USG donor funding.

Job Responsibilities

  • Prepare and execute delivery schedules and contingency plans to guarantee timely distribution of goods and address potential delays.
  • Monitor and track commodity movement to the last mile to maintain the chain of custody.
  • Prepare and analyze distribution reports to provide insights and track distribution performance.
  • Conduct spot checks on transport service providers to assess their adherence to established standards and protocols.
  • Address logistical challenges or disruptions reported by transport service providers to minimize their impact on distribution efficiency.
  • Develop and implement a reverse logistics plan by coordinating with transport service providers and stakeholders to manage the return and redistribution of unused or excess health commodities.
  • Coordinate the submission of Proof of Delivery (POD) documents from delivery points to ensure accountability within the distribution cycle.
  • Serve as the primary point of contact between County Health Management Teams (CHMTs), implementing partners, and other stakeholders to facilitate seamless project operations.
  • Familiarize with project guidelines and Standard Operating Procedures to ensure compliance.
  • Operate project vehicles and ensure perform regular maintenance for reliability and safety.

Qualifications

  • Bachelor’s degree in health sciences, business or supply chain management, public administration, healthcare administration or a related field;
  • Minimum 3 years of work experience in global health or health supply chain programs with a focus on warehousing and/or distribution;
  • Demonstrated experience coordinating and collaborating with stakeholders such as government agencies or international donor agencies
  • Demonstrated knowledge of supply chain, 4PL and 3PL logistics
  • Member of a relevant professional body is an added advantage.
  • Valid driving licence with 2 years driving experience
