Job Description

The Save the Children Fund, commonly known as Save the Children, is an international non-governmental organization that promotes children’s rights, provides relief and helps support children in developing countries

ROLE PURPOSE:

Supply Chain Assistant, Asset, and Warehouse Management will support Supply Chain Coordinator (Fleet, warehouse and Asset) with ensuring and safe, transport services for SCI Kenya program and support staff. Through enforcing the established SCI Fleet Management Policy Guidelines, in addition to these duties, responsible for general aspects of Supply chain activities related but not limited to warehousing and asset management. S/he will support with implementation of warehouse and asset management policies and procedures in coordination with the relevant programmatic and departmental team members.

Contract Duration: 1 Year

Reports to: Supply Chain Coordinator-Fleet, Asset and Warehouse.

KEY AREAS OF ACCOUNTABILITY: 

Fleet Management:

  • Support the general management of organization vehicles in cooperation with the Supply Chain Coordinator-Fleet, Warehouse, and Assets.
  • Support in Ensuring that all vehicles (SCI and Hired) are safe and road-worthy and properly used vehicles through monitoring through existing systems.
  • Supportin Maintaining and Updating administrative vehicle files for each vehicle.
  • Support with Continuous tracking of vehicle log sheets; responsible for monthly compilation and submission of log sheets and onward preparation of monthly reports.
  • Support with Overseeing fuel consumption purchase and tracking including coordination with gas station(s).
  • Support with for oversight of vehicle rentals including tracking of leases and payments.
  •  Ensure all interventions adhere to SCI standard Policy. Warehouse Management
  • Follow-up and receive all monthly Warehousing and Distribution area reports and in liaison with the Supply chain coordinator – Fleet, warehouse and assets, prepare consolidated Country office monthly reports.
  • Actively monitor all Warehousing and Distribution reports for accuracy / completeness / timeliness.
  • Identify any deviations from defined performance standards and provide technical support to the field teams to correct the deviations.
  • Provide technical support to the field offices in complex Warehousing and Distribution tasks.
  • Visit field offices and provide support / training.
  • Support field offices in resolution of audit queries / findings in the area of Warehousing and Distribution.
  • Keep the field Warehousing and Distribution teams engaged and motivated through appropriate collaboration forums.
  • Identify and support continuous improvement initiatives in the area of Warehousing and Distribution.
  • Support with warehouse management as per policy

Asset Management

  • Follow-up and receive all monthly area Asset management reports and in liaison with the field supply chain teams, prepare consolidated Country office monthly reports.
  • Actively monitor all Asset management reports for accuracy / completeness / timeliness
  • Partake asset verification exercise conducted on semi-annually basis.
  • Prepare asset disposal plans where required.
  • Ensure that all assets are tagged and properly allocated to the staff.
  • Identify and support continuous improvement initiatives in the area of Asset management.
  • Support with management of assets as per policy. Compliance:
  • To ensure that all operations relating to the procurement, storage, handling, and distribution of medicines are in line with Good Distribution Practice Regulations.
  • To follow and implement Good Distribution Practice Procedures and report any deviations to the Responsible Person/Quality Manager.
  • To carry out investigations as required by the Responsible Person/Quality Manager.
  • To contribute to the continuous improvement activities for Good Distribution Practice

EXPERIENCE AND SKILLS

Essential

  • Diploma or higher diploma Business related course.
  • Professional certification in Level 3 CIPS or equivalent.
  • Computer literate; strong MS Excel and MS Word skills.
  • Good spoken and written English and Swahili.
  • Two years’ experience in fleet, Asset and Warehouse management preferred.
  • Strong organizational skills.
  • Ability to work simultaneously on multiple tasks.
  • Willingness and ability to work effectively with a diverse team
  • Ability to work as part of a team and coordinate with all team members.
  • Ability to collect, correlate and analyse data for decision-making
  • willingness to work and travel in often difficult and insecure environments; Desirable
  • Use of different systems for and fleet. Asset and warehouse.
  • Technical experience/knowledge in specific types of humanitarian intervention e.g. Child protection, Education, Health, WASH, Food Security.
  • Conscientious with an excellent sense of judgment. Comply with the requirements of Save the Children’s Safeguarding Policy and other Global Policies.
  • Commitment to and understanding of Save the Children International’s aims, values and principles.
